HR department specialist
About the company:
One of the world's largest manufacturers of electrical equipment of various profiles. The company has been present on the Russian market alone for more than 25 years.
Since 2010we have handed over the payroll block
In 2018implementation of the 1C:ZUP 8.3 system
Services:
We prepared for the transition with the support of your technical service and Svetlana Petrova (project manager), and on our side there was 1C training. I had experience with the program, but my colleagues did not.
The transition went very well for us. Fairly quickly, within the specified deadlines and without any violations, the databases were migrated in line with the contract. The main difficulty was that we have quite a lot of external customisations that had to be moved to 1C.
That applied especially to one of the company's legal entities, because it had more complex accounting of postings used in the self-written "seven" (= 1C 7). So there were certain technical difficulties with one of the databases specifically. Since we were preparing for the transition, together with Svetlana we drew up a kind of template of internal tasks for each of the legal entities for configuring the system. So our transition went without a hitch.
Everything was fairly clear and understandable. The question here is more that not all of the client's specialists have experience with outsourcing.
It is good that you have documented algorithms and standards of interaction, that you have matrices and that they are standardised; that is very convenient. That is, at the start of the interaction such matrices help bring the client's processes into a standard form.
The employee understands that they perform these simple actions along a very simple route. That is very clear and convenient. It did not cause any difficulties. That is, given a certain lack of automation in our company, handing over HR administration, for example, would have been a heavier process. Because if payroll is all in the system, keeping HR records implies a large number of documents.
The company is not ready to calculate salaries on its own. Building an HR records process would have taken much more time. Military registration involves a lot of paperwork, yes, but the process is standardised for everyone and there is a common procedure. It is a large volume of actions that can easily be outsourced.
Everything is excellent there. When I joined in April 2014, we had a project manager with whom there were minor disagreements. If I remember correctly, from the summer of 2014 our project manager was Svetlana Petrova.
I think that is right and well deserved. If we had any difficulties or questions, everything was resolved. We continue to work with Svetlana to this day. Please, let it stay that way!
Of course, every client has its own specifics, and for us Svetlana is the best payroll project manager. Six years of close cooperation have proved that.
Now our payroll specialist is Tatiana Andreeva. Tatiana also does an excellent job: if we have any questions, they are answered quickly. Importantly, we always get prompt feedback from UCMS; even if the specialist does not yet have a specific answer to one of our questions, at the very least we get information that our question is being worked on. And that is wonderful, believe me. It really is great, because it is one of the factors of excellent cooperation.
I can say the same about the IT service and your technical support. Everything is excellent.
A good friend
Because you are a good business partner. A company that makes clients' lives easier and does the work well. You try to stay close to the client while keeping human relationships.
Everyone decides for themselves what matters to them in those human relationships and maps that onto the terms of cooperation.
Of the non-standard situations, most often there was something along the lines of "we are on fire, urgently, save us, help us". Svetlana comes in, writes to the team "urgently, help, save us" and the problem is solved.
One of the latest was our back and forth with military registration. You have been helping us with that process for about six months. It is a new service for us..
Your colleagues help build the military registration system. I can count that as a fun project too.
We did not look for additional providers; we knew you provide this service. Svetlana clarified some points for us. And basically, off we went!
Responsible and professionally competent. Since we are talking about the provision of payroll outsourcing services, it also means a high level of software and computer literacy. The presence of a strong team, as in our case.
No, not hard. In fact, the more complex it is, the quicker you remember it. Like with surnames: it is easier to remember Vasya Pupkin than Vasya Ivanov. There were no problems at all here. We often called you by the affectionate name "Yusimisi".
Maintain your current level of service. That also requires certain costs and attention from your specialists. Again, that is one of the questions I thought about before the interview, because it is hard to give such advice when everything suits you. If we had any difficulties or conflicts, it might have been easier for me to answer this question. Perhaps, if we are talking about modern technology, some kind of client portal.
Many providers offer a client portal, but they take interaction with the provider away entirely into depersonalised communication. There are certain advantages there in terms of control. But we still build very individual relationships with clients, with the client having direct access to the person doing the work. A client portal is in our plans, but we want it to be more for control functions.
Here I absolutely agree with you. The fact that there is a system with specific contact persons and your own project manager is great. I agree with you that this should not be turned entirely into a digital figure.
